Customize Gmail’s Look and Feel in Google Chrome
BackStep 1: Open Gmail in Google Chrome
Launch Google Chrome:
- Look for the Chrome icon (a red, yellow, and green circle with a blue center) on your desktop or in your taskbar.
- Double-click the icon to open Google Chrome.
Go to Gmail:
- In the address bar at the top, type
gmail.com
and press Enter on your keyboard.
- In the address bar at the top, type
Sign in to Your Gmail Account:
- If prompted, enter your email address and click Next.
- Type in your password and click Next again.
- If you have two-step verification, follow the instructions (e.g., enter a code sent to your phone).
Step 2: Change the Gmail Theme
You can change the background and colors of Gmail using the theme settings.
Access the Theme Settings:
- Click on the gear icon (⚙) at the top-right corner of your Gmail page.
- A small menu will appear. Click on "See all settings" or "Themes" (depending on the Gmail version).
Choose a Theme:
- A window will open showing different background options.
- Scroll through the available themes. Themes may include:
- Light colors (for a clean look).
- Dark mode (for reduced eye strain).
- High-contrast themes (for better visibility).
- Custom images (you can upload your own background image).
Apply a Theme:
- Click on a theme to preview it in real time.
- If you like it, click "Save" or "Apply" to set the theme.
Step 3: Adjust Display Density
Gmail allows you to control how much space emails take up in your inbox.
Go to Display Density Settings:
- Click on the gear icon (⚙) again in the top-right corner.
- Under "Density," you will see three options:
- Default – Shows email attachments as small icons below email previews.
- Comfortable – Slightly reduces spacing but keeps everything readable.
- Compact – Shrinks email spacing for a tighter, list-like view.
Choose Your Preference:
- Click on each option to preview how your inbox will look.
- Once satisfied, click OK or just close the menu.
Step 4: Customize Your Inbox Layout
Gmail provides different inbox types to help you organize emails.
Open the Inbox Type Settings:
- Click the gear icon (⚙) again.
- Under "Inbox type," you will see several options:
- Default – Groups emails into Primary, Social, Promotions, etc.
- Important first – Puts emails Gmail thinks are important at the top.
- Unread first – Moves unread emails to the top.
- Starred first – Highlights emails that you manually mark as important.
- Priority Inbox – Uses AI to arrange emails based on importance.
Select an Inbox Type:
- Click on your preferred option.
- Gmail will instantly rearrange your inbox to match your choice.
(Optional) Customize Tabs in Default Inbox:
- If using the Default inbox, you can enable or disable tabs like Social, Promotions, Updates, and Forums.
- Click Customize (next to "Inbox type") and check/uncheck the tabs you want to show.
Step 5: Adjust Font Size and Style
If you want larger text or a different font, follow these steps:
Go to General Settings:
- Click the gear icon (⚙) and select "See all settings".
- In the top menu, click the "General" tab.
Find the "Default text style" section:
- You will see options for:
- Font style – Change how emails appear (e.g., Arial, Georgia, Verdana).
- Font size – Choose small, normal, large, or huge.
- Text color – Change email text color.
- You will see options for:
Apply Your Preferences:
- Adjust the settings as needed.
- Scroll down and click "Save Changes".
Step 6: Enable Dark Mode
If you prefer a darker theme for better eye comfort:
- Go to Theme Settings:
- Click the gear icon (⚙) and choose "Themes".
- Select Dark Mode:
- Scroll down and look for "Dark" or similar themes.
- Click Apply to enable dark mode.
Step 7: Customize Your Gmail Sidebar
The left-side menu in Gmail shows folders like Inbox, Sent, and Drafts. You can adjust it:
- Expand or Collapse the Sidebar:
- Click the three-line menu (☰) at the top-left to hide/show the menu.
- Rearrange or Remove Labels:
- Scroll down in the left menu and click "More".
- Click "Manage labels" to add or remove sections.
Step 8: Add or Remove Email Categories
If you want Gmail to categorize emails differently:
Open Settings:
- Click the gear icon (⚙) and go to "See all settings".
- Click the "Inbox" tab.
Modify Categories:
- Check or uncheck boxes under "Categories" (e.g., Social, Promotions).
- Click Save Changes when done.
Step 9: Enable Reading Pane
The reading pane lets you preview emails without opening them fully.
Go to Quick Settings:
- Click the gear icon (⚙).
Find the "Reading Pane" Option:
- Select:
- No split (default, emails open fully).
- Right of inbox (splits screen into two sections).
- Below inbox (places email preview beneath the email list).
- Select:

Step 10: Set Up a Custom Signature
To add a signature at the bottom of emails:
Go to Signature Settings:
Click gear icon (⚙) → See all settings → "General" tab.
Scroll down to "Signature".
Create a Signature:
- Click "Create new", type a name for the signature, and press Create.
- Enter your signature text.
- Format it using bold, italic, color, and images.
Set It as Default:
- Choose when to use the signature (e.g., for new emails and replies).

Tips for Managing Emails
Step 1: Use Labels to Organize Emails
Labels are like folders, but you can apply multiple labels to a single email.
1.1 How to Create a New Label
- Open Gmail in Google Chrome.
- In the left sidebar, scroll down and click “More”.
- Click “Create new label”.
- Type a name for the label (e.g., “Work,” “Family,” or “Receipts”).
- Click “Create”.
1.2 How to Apply Labels to Emails
- Open an email you want to organize.
- Click the label icon (a small tag symbol at the top).
- Select an existing label or click “Create new” to add a new one.
- Click Apply.
- The email will now appear under that label in the left sidebar.
1.3 How to Automatically Label Emails
You can automate labeling so that incoming emails are sorted automatically.
- Open Gmail and click the search bar at the top.
- Type details of the emails you want to filter (e.g., emails from a specific sender).
- Click the downward arrow (▼) on the right side of the search bar.
- Click “Create filter”.
- Check “Apply the label” and choose a label.
- Click “Create filter” again.
- Now, Gmail will automatically apply this label to similar emails in the future.
Step 2: Use Filters to Automatically Sort Emails
Filters allow Gmail to sort, delete, archive, or move emails as they arrive.
2.1 How to Create a Filter
- Click the search bar at the top of Gmail.
- Type a keyword, sender’s email, or subject line you want to filter.
- Click the downward arrow (▼) on the right side of the search bar.
- Click “Create filter”.
- Choose actions such as:
- Skip the Inbox (Archive it) – Keeps it out of the inbox but saves it.
- Mark as Read – Prevents unread notifications.
- Star it – Marks important emails for quick access.
- Apply a label – Moves emails to a category.
- Delete it – Automatically removes spam or junk emails.
- Click “Create filter” again.
Example: If you keep getting newsletters, create a filter to move them into a “Newsletters” label automatically.
Step 3: Star and Mark Important Emails
If you need to quickly find an email, Gmail provides stars and importance markers.
3.1 How to Star Emails
- Open Gmail.
- In your inbox, find the email you want to highlight.
- Click the star icon (⭐) next to the sender's name.
- The email will now appear in the Starred folder (on the left sidebar).
3.2 How to Mark an Email as Important
- Find an email in your inbox.
- Click the importance marker (⚡) next to it.
- Gmail will prioritize similar emails in the future.
Step 4: Archive Old Emails Instead of Deleting
Archiving an email removes it from the inbox but keeps it in Gmail for later search.
4.1 How to Archive an Email
- Open Gmail.
- Select one or more emails by clicking the checkbox next to them.
- Click the archive icon (📥 with a downward arrow) at the top.
- The email disappears from your inbox but remains in “All Mail”.
4.2 How to Find Archived Emails
- Click “More” in the left sidebar.
- Click “All Mail” to see archived emails.
- If needed, move an email back by opening it and clicking "Move to Inbox".
Step 5: Block and Report Spam
Spam emails can be annoying or dangerous. Gmail provides tools to block senders and report spam.
5.1 How to Mark an Email as Spam
- Open Gmail.
- Click on the unwanted email.
- Click the three-dot menu (⋮) in the top-right corner.
- Select “Report spam”.
- Gmail will move the email to the Spam folder and block similar emails.
5.2 How to Block a Sender
- Open the email from the sender you want to block.
- Click the three-dot menu (⋮) in the top-right corner.
- Select “Block [Sender’s Name]”.
- Click Confirm.
- Future emails from this sender will go directly to Spam.
5.3 How to Unsubscribe from Junk Emails
If you receive too many newsletters or promotions, Gmail lets you unsubscribe easily.
- Open the unwanted email.
- Look for the “Unsubscribe” button near the sender’s name at the top.
- Click “Unsubscribe” and follow the steps.
Step 6: Use Search to Find Emails Quickly
If you have thousands of emails, use Gmail’s search bar to find what you need.
6.1 How to Search by Keyword
- Click the search bar at the top of Gmail.
- Type in a word, phrase, or sender’s name (e.g., “invoice” or “John Doe”).
- Press Enter.
6.2 How to Use Advanced Search Filters
- Click the downward arrow (▼) inside the search bar.
- Fill in any of these details:
- From: Find emails from a specific person.
- To: Find emails sent to a person.
- Subject: Look for specific words in the subject line.
- Has the words: Search for emails that include a phrase.
- Doesn’t have: Exclude words from the search.
- Attachments: Filter emails with files attached.
- Click Search.
